Insurance
*At least fifteen (15) days before the date set for the start of the use of the camp by the user, the user shall at its expense arrange public liability insurance for at $2 million when pool and waterfront are NOT being used and $3 million if either or both are used. This insurance will include bodily injury and property damage with the user, RHC, the Camp Council of RHC and all employees and volunteers of RHC named as “Additional Named Insured”
Arival and Departure Times
*For over night rentals arrival time is no earlier than 2 p.m. on first day of the rental period and departure time no later than 11 a.m. on the final day of rental period, unless otherwise agreed to by RHC.
For One day rental arrival time is no earlier than 9 a.m. and departure is no later than 5 p.m. the same day.
These time periods are set unless otherwise arranged with RHC
Deposits
* All rentals must provide a ten percent (10%) deposit Within three (3) weeks of booking, with the balance due at least forty-five (45) days prior to the date set for the start of the use of the camp. Confirmation of the rental is granted upon receipt of deposit. Failure to provide this deposit or balance within the stated time will result in the cancellation of the reservation and make the rental time available to other renters.
Damages
* Rentals shall maintain the campgrounds and facilities subject to fair wear and tear. The user shall pay the cost of repairing all damages to the campgrounds and facilities. The user shall pay a $200 deposit at least forty-five (45) days prior to the date set for the start of the use of the campgrounds and facilities. The deposit will be held for one week after the last day of rental period to allow time for inspection. The amount remaining or owing will be refunded or charged. A $40.00 per hour cleaning fee will be assessed when necessary;
Cancellations
* Cancellations received in writing:
a) more than five (5) weeks prior to start date of the use of the campgrounds and facilities will result in a full (100%) refund.
b) more than four (4) weeks prior to start date of the use of the campgrounds and facilities will result in a fifty percent (50%) refund
c) more than three (3) weeks prior to start date of the use of the campgrounds and facilities will result in a twenty five percent (25%) refund
d) less than three (3) weeks prior to start date of the use of the campgrounds and facilities will result in a zero percent (0%) refund
Conditions of Rental
* The user agrees to follow the following:
a) no smoking is permitted on the premises
b) no alcohol permitted on the premises
c) campfires are only allowed in designated areas and only with the permission of local fire authorities and following local bylaws
d) the user is responsible for the disposal of their garbage or non- recyclable items
e) the user must try and practice the conservation of water where possible
f) the telephone is to be use for emergency purposes only. This is a business phone and the user will not answer any incoming calls. All long distance calls must be placed collect or on a calling card.
g) the preservation of all flora and fauna
h) the facilities will be left as, or in better shape than it was found
i) the user is responsible for supplying all first aid equipment and to designate a qualified adult to dispense first aid supplies
j) the user is responsible for providing their own dishcloths and tea towels
Pool
* The user agrees not to use the pool facilities unless authorized by RHC, and a lifeguard with national certification is on duty with proper swimmer to lifeguard ratios being followed. A copy of the lifeguard certification certificates must be posted in the pool areas at all times.
Meals
* RHC does not supply meals to camp rentals. Renters have full use of the kitchen and dining hall facilities for meal preparation and serving.
Camp Clean-Up
* In order to keep the cost of our facility for rentals reasonable, we request your group's co-operation in keeping the camp clean. Overnight rental groups are expected to follow the cleaning procedures outlined in the clean-up checklist.
* Groups are responsible for their own garbage. RHC does not have door to door gargabe pick up and must transport it for disposal. RHC will dispose of it if left at the camp at a cost of $2 per bag.
* The camp will supply all cleaning and paper products for your use (paper towels, toilet tissue, soap and garbage bags)
Emergencies
* Should an emergency occur, contact the local ambulance service at 911. Contact information is posted at the telephone in the kitchen.
* The closest hospital from the camp is the Kemptville District Memorial Hospital in Kemptville.
Fire Emergency
* Locate fire extinguisher and use to extinguish the fire. There is a fire extinguisher in the kitchen, recreation hall, pool house and other key points through the camp. Water buckets are placed on the porch of each sleeping cabin.
* Please make sure camp fires are attended at all times and are completely out when leaving.
* Fire services are available from Kemptville Fire Department through the 911 emergency phone number.
